"Singapore company registration certificate" is not a safe catch-all document name. First ask what fact the recipient needs to prove. A free Bizfile search, an ACRA Business Profile, a certificate confirming incorporation or registration, an extract and a certified information product serve different purposes. Buy or send the product that matches the written request.

Start with the recipient's evidence question

Copy the request verbatim and record:

  • the requesting organization and contact;
  • the company legal name and UEN;
  • the fact to be proved;
  • required issue date or recency;
  • whether certification, authentication or verification is specified;
  • submission method, deadline and privacy restrictions;
  • whether the recipient named a specific ACRA product.

Do not translate "certificate of incorporation", "registration certificate", "company extract" and "Business Profile" into one assumed document.

ACRA's Bizfile search guide explains how to search available entity information. Use the free search to check the exact legal name, UEN, entity type and status shown before buying a product.

A search result may be enough for a preliminary counterparty check, but it does not automatically satisfy a bank, authority, investor or contractual evidence requirement. Save the search date and do not describe a screenshot as a certified record.

Use a Business Profile when the current entity particulars are needed

ACRA describes the Business Profile as an electronic report containing registration information and position-holder or owner information for the entity. Check ACRA's current product description and sample before purchase.

Verify the received file rather than relying on its filename. Compare the legal name, UEN, entity type, status, registered address, activities, officers or owners and generation date with the intended company. Escalate any unexpected or outdated entry to the company owner and the relevant filing process.

Use a certificate only for the fact it certifies

ACRA's current information-product list distinguishes certificates from profiles, extracts and other products. If the recipient needs formal evidence that a company was incorporated or an entity was registered, identify the exact certificate ACRA currently offers for that fact.

A formal product is not automatically more useful. A certificate confirming incorporation may not contain the current officers, address or activity information that a counterparty needs. Conversely, a Business Profile may not satisfy a request that expressly requires a certificate.

Separate incorporation evidence from share ownership

An incorporation or registration product concerns the entity. It is not the same as a share certificate, register of members, cap table or evidence that a particular person currently owns shares. For an ownership request, ask which company records and certifications the recipient requires and obtain qualified review where legal title is disputed or consequential.

Verify source and integrity

Purchase through ACRA's current official route or an authorized channel identified by ACRA. Preserve the receipt, original electronic file, generation date and available verification mechanism. Do not edit the file, remove validation material or forward a version whose source cannot be checked.

If a third party supplies the product, record who obtained it and when. Confirm that the document relates to the correct entity; similar names and group companies are common sources of error.

Worked request examples

Counterparty onboarding: "Confirm the company's current registered particulars." Start with the recipient's checklist and compare it with the current Business Profile fields.

Historical transaction: "Provide the company particulars as at a past date." Check whether an extract or historical product, rather than a current profile, owns that request.

Proof of incorporation: "Provide a certificate confirming the company was incorporated in Singapore." Match the request to ACRA's current certificate description and verification route.

In each case, the recipient decides what it will accept unless a governing rule or agreement says otherwise.

Handoff record

Package the original request, exact product description, company identifiers, source, issue date, verification evidence and unresolved sufficiency question. Use the company setup document checklist to connect it to the company file.
